PayablesAgent ("we," "us," or "our") operates an invoice and receipt data extraction service. This policy explains what information we collect, how we handle it, and the choices available to you regarding your data.

2. Data We Collect

When you use PayablesAgent, we may collect:

  • Account details: Your name, email address, and password hash when you register
  • Profile info: Optional details such as company name or job role
  • Payment data: Billing address and payment method (handled by Stripe; we do not store full card numbers)
  • Uploaded files: Invoices, receipts, and documents you submit for extraction
  • Usage logs: Timestamps, IP addresses, and feature activity for troubleshooting purposes
  • Support messages: Any communications you send to us

3. How We Use Your Data

We use the information we collect to:

  • Operate the extraction service and deliver results to you
  • Process payments and manage your subscription
  • Respond to support requests
  • Send service notifications and security alerts
  • Analyze usage patterns to improve the product
  • Detect misuse and prevent fraudulent activity

4. Document Handling

Documents you upload are processed by our AI systems to extract structured data. We do not manually review your files unless you request support or a technical issue requires investigation. Extracted data is retained in your account until you delete it yourself or ask us to remove it.

5. Data Retention

We retain your account data for as long as your account exists. Cancelling a subscription does not remove anything on its own: your extractions and uploaded documents stay in your account. We delete them only if you ask us to, either by ticking the deletion option in the cancellation step or by contacting support. In that case we remove your extractions and uploaded files 30 days after your paid period ends, and we send you an email before it happens. Certain information may be held longer where required for legal or compliance purposes.

6. Security Measures

We encrypt data in transit (TLS) and at rest. Access to production systems is restricted and logged. Our security practices are reviewed on a regular basis. No system is entirely without risk, and you should use strong passwords and keep your login credentials private.

7. Third-Party Services

We use third-party providers for payments (Stripe), hosting (AWS/cloud providers), and analytics. These services maintain their own privacy policies. We share only the minimum data necessary for them to function.

8. Cookies

We use cookies to keep you signed in and remember your preferences. We may also use analytics cookies to understand how visitors use the site. You can disable cookies in your browser settings, though some features may not function correctly as a result.

9. Your Rights

Depending on where you are located, you may have rights to access, correct, or delete your personal data. You can export your extraction history from your account settings. To have your data or your whole account removed, tick the deletion option when you cancel your subscription, or contact our support team at any time.

10. Children

PayablesAgent is a business tool and is not intended for anyone under the age of 18. We do not knowingly collect data from minors.

11. Policy Updates

We may update this policy from time to time. Significant changes will be communicated via email or an in-app notice. Continued use of the service after changes are made constitutes acceptance of the revised policy.
