Refund Policy

Effective: October 14, 2026

PayablesAgent subscriptions pay for extraction capacity that is open to you from the first minute of each billing period. This policy explains why we treat those payments as final and the three situations in which we return money.

1. Payments Are Final

Once a Starter, Pro or Enterprise payment is processed, your account can upload invoices, receipts and statements and export structured data up to the plan's monthly page allowance. That allowance is reserved for you for the whole period, so subscription payments are not refunded after they are charged, except as described in section 3.

When you subscribe, you ask us to start the service at once. Where a consumer has a legal right to withdraw from a digital service within 14 days, that right ends once the service begins with the consumer's express consent and acknowledgement that it is lost.

2. What Does Not Qualify

  • Processing fewer invoices or pages than your plan allows, or none during the period.
  • A document that was blurred, cropped, password protected or otherwise unreadable when uploaded.
  • Extraction output you need to adjust before posting it to your accounting system.
  • A renewal that was charged before you turned renewal off.
  • Choosing Pro or Enterprise when Starter covered your volume, or annual billing when a month was enough.
  • The unused part of a period after you cancel or move to a smaller plan.

3. The Three Exceptions

Double charge. If an error on our side billed you twice for the same plan and period, we return the extra charge.

Unauthorized charge. If your card was charged without your permission and you report it within 14 days, we investigate and return the charge where the evidence supports it.

Complete outage. If PayablesAgent could not be used at all for most of a billing period because of a failure on our side, and you told us while it was happening, we refund that period.

A refund is limited to what you paid for the affected period and is returned to the original card. Send the charge date and amount to [email protected] from your account email within 14 days of the charge.

4. Cancelling

You may turn off renewal from your account at any time. Access continues until the end of the period you have paid for. Cancelling stops future charges; it does not reverse a payment already taken, and partial periods are not prorated.

5. Renewals and Payment Retries

Plans renew automatically each month or year until cancelled. The charge for a period is due when it starts. If a renewal payment fails, our payment operator retries it over the following days, and a successful retry is a regular renewal.

6. Records We Keep

We keep the date and time you accepted the Terms of Service, an account activity log (sign-ins, uploads, exports) and the payment record held by our payment operator, including the 3D Secure result.

7. Chargebacks

Contact us before disputing a charge with your bank. A chargeback on a payment covered by this policy, filed without contacting us first, breaches the Terms of Service and the account is closed.

8. Earlier Purchases

Payments made before October 14, 2026 remain under the terms that applied when they were made.

9. Contact
