Accounts Payable Invoice Automation Software and AP Automation Software
Stop typing vendor invoices by hand and get every header field and line item into a clean spreadsheet or import file
PayablesAgent reads PDF, scanned and photographed invoices, bills and receipts, pulls out the data your AP team keys today, and hands it back as Excel, CSV or JSON. Approvals and payments stay in the accounting system you already run.

PayablesAgent is AP invoice automation for the data entry step. It uses AI to read PDF, scanned and photographed vendor invoices, bills and receipts, extracts header fields such as vendor, invoice number, dates, totals and tax along with every line item, and exports the result to Excel (XLSX), CSV or JSON through the API. It does not route approvals, pay vendors, match invoices to purchase orders or check for duplicates, so you keep those steps in QuickBooks, Xero, NetSuite, Sage, BILL, Melio or your bank. Plans start at $49 a month.
Why Automate Invoice Data Entry in Accounts Payable
Keying invoices by hand is the slowest, most error-prone part of most AP workflows, and it is the easiest part to hand off
Every accounts payable team faces the same basic problem: more invoices each month with the same number of people, and no room for mistakes on payment amounts or due dates. If your AP staff still type invoice data into the accounting system line by line, that time comes straight out of reconciliation, vendor follow-up and month-end work. Most teams look at a full AP suite first, which is why so many end up comparing seat prices. Our Bill.com competitors comparison breaks down what BILL charges per user and which half of it you are actually buying.
Picture a typical day in a manual AP environment. An AP clerk starts with a pile of paper invoices from the mail alongside PDF attachments forwarded from inboxes across the business. The first few hours go to sorting documents, matching them to vendors, and entering header details such as invoice numbers, dates and amounts into the accounting platform. This kind of keying is slow and easy to get wrong. A single incorrect digit can lead to a wrong payment, a vendor dispute and a long reconciliation.
Line items make it worse. Many teams only enter the invoice total because typing every SKU, quantity and unit price takes too long, and then they lose the detail they need for job costing, inventory or spend review. When the line items do get entered, they are the place where transposed numbers hide.
Month-end close turns into a push to clear the backlog of invoices that nobody has entered yet. When an auditor or controller asks for the details behind a payable, someone has to go back to the original PDF and read it again.
PayablesAgent takes over that one step. You upload the invoices, it reads them and returns structured rows you can review and import. Approval routing, PO matching, duplicate checks and payments stay in the systems your team already uses for them, so you are not paying for a second copy of features you already have.
How PayablesAgent Fits Into Your AP Process
Three steps from a pile of invoices to a file your accounting system can import
Upload Your Invoices
Upload PDF invoices, scanned bills, or photos of paper invoices and receipts taken on a phone. Native PDFs and scans go through the same process.
Developers can send documents through the API instead and get the results back as JSON.
AI Reads Header Fields and Line Items
PayablesAgent reads each document with AI and pulls out the header fields, such as vendor name, invoice number, invoice and due dates, subtotal, tax and total, along with each line item with its description, quantity, unit price and amount.
You can check the extracted values against the original document before you export.
Export and Import Into Your System
Download the data as Excel (XLSX) or CSV and bring it into QuickBooks, Xero, NetSuite or Sage with their own import tools, or feed the JSON into your own scripts.
Approvals, coding and payments then happen where they already do, in your accounting system, BILL, Melio or your bank.

JSON Through the API

Flat Monthly Plans for AP Invoice Automation
No per-user seats and no payment fees, because we do not move your money
Starter, per month
Plus, per month
Pro, per month
Working Out Whether It Pays Off
The simplest way to judge it is with your own numbers. Count how many invoices your team enters each month, time how long a typical one takes with its line items, and multiply by what an hour of AP time costs you. Compare that with the plan that covers your volume on the pricing page.
The hours you get back can go to vendor follow-up, reconciliation and month-end close instead of retyping numbers that are already printed on the page.
Frequently Asked Questions
Common questions about accounts payable invoice automation
How long does it take to get started?
There is no implementation project. You pick a plan, upload an invoice and download the extracted data. Setting up the import into your accounting system is a matter of mapping the columns of the CSV or Excel file once in its import screen.
Will it work with our existing accounting software?
PayablesAgent does not have native connectors to accounting systems. It exports Excel (XLSX) and CSV files you can bring in through the import tools in QuickBooks, Xero, NetSuite, Sage and similar systems, and it returns JSON through the API if you want to build your own integration.
Does it handle approvals, payments or PO matching?
No. PayablesAgent covers invoice capture and data extraction only. Approval routing, three-way matching, duplicate checks and vendor payments stay in your accounting system, BILL, Melio or your bank. That is also why the plans cost less than a full AP suite.
What if a field comes out wrong?
Review the extracted values against the original document before you export, and correct anything that does not match. Very blurry photos or handwritten notes are the most likely to need a second look, so a clear scan or a straight, well-lit photo gives the best result.
How does it handle invoices from new vendors?
The same way it handles invoices from vendors you already know. There are no per-vendor templates to set up, so a first invoice from a new supplier goes through the same upload and export steps as any other.
How much does it cost?
Starter is $49 a month, Plus is $149 a month and Pro is $499 a month. The pricing page lists what each plan includes.
