AvidXchange vs Bill.com comes down to size and price transparency. BILL publishes its prices ($49, $65 or $89 per user a month, plus per-payment fees) and fits US small and midsize companies on QuickBooks, Xero or, on its Enterprise tier, NetSuite and Sage Intacct. AvidXchange sells only by quote after a demo and is built for mid-market teams in real estate, construction and community association management that want invoice capture, approvals and supplier payments run as one service.

If your shortlist is these two, the first question is whether you need a payments platform at all. Plenty of teams already pay vendors well from their bank or QuickBooks and only want the invoices read. We cover that case at the end, because it is the one we sell. Everything else below comes from each vendor's own website, checked October 7 to 9, 2026.

AvidXchange vs Bill.com pricing

BILL is the only one of the two you can price before talking to sales. Its cost is seats plus payments, so it scales with headcount and payment count rather than with invoice volume. Here is what a normal month looks like on the published numbers:

TeamBILL planSeatsPaymentsMonthly total
5 people, 300 bills, QuickBooks OnlineTeam5 x $65 = $325250 ACH x $0.59 + 50 checks x $1.99 = $247About $572

NetSuite or Sage Intacct, any sizeEnterpriseQuote only, same as AvidXchange

AvidXchange does not publish a single figure. Its quote is shaped by invoice volume, the modules you take and how your suppliers get paid. Part of the AvidXchange model is payment-led: when suppliers accept a virtual card, the card economics help pay for the service, which is one reason quotes vary so much between two companies of the same size. Directory sites quote estimates that AvidXchange does not confirm, so do not budget on them.

To compare the two fairly, get the AvidXchange quote in writing with these lines filled in:

  • The monthly or annual subscription and what invoice volume it covers.
  • Any per-invoice or per-payment fee above that volume.
  • Implementation, ERP connection and supplier enrollment fees, and whether they are one time.
  • Whether any supplier pays a fee to receive money through AvidPay Direct.
  • Contract length, renewal notice period and the cap on renewal increases.

Store the signed order form and renewal date somewhere you will actually see it. A contract management tool with renewal alerts beats a calendar reminder the person who signed it forgot to hand over. Our full Bill.com pricing breakdown has every BILL fee, and the AvidXchange pricing and competitors page walks through the quote in more detail.

Which accounting systems each one syncs with

This is where the decision usually gets made. BILL's automatic two-way QuickBooks Online and Xero sync starts on the Team plan at $65 per user a month and is the reason most small businesses pick it. Essentials at $49 only moves data by manual CSV import and export, so budget for Team if you want bills to land in your ledger on their own. The catch is higher up: NetSuite, Sage Intacct, Microsoft Dynamics and QuickBooks Desktop Enterprise sync only on BILL Enterprise, which is quoted. A NetSuite company that prices BILL from the public page is looking at the wrong number.

AvidXchange lists over 200 integrations, and its depth shows in vertical systems BILL does not focus on: Yardi, MRI and Rent Manager for property management, and construction accounting packages. If your books live in one of those, AvidXchange is usually the easier technical fit.

How each one pays your vendors

BILL charges you per payment and keeps the fees simple to read: $0.59 per standard ACH, $1.99 per check, 2.9% when you pay by card. You know what 300 payments cost before you send them.

AvidXchange pays through its supplier network by virtual card, AvidPay Direct deposit or mailed check, and it handles supplier enrollment for you. That is a real service for a property manager paying hundreds of small vendors who all want something different. The trade-off is that some of the cost sits with your suppliers, so ask how many of yours will be pushed toward card acceptance.

Is AvidXchange better than Bill.com?

AvidXchange is better for a mid-market company in real estate, community association management or construction that wants a vendor to run invoice capture, approvals and supplier payments end to end, on a system like Yardi or MRI. BILL is better for a small or midsize business on QuickBooks Online or Xero that wants published prices, self-service setup and a bill that grows with seats.

Neither is better at the job many teams are actually buying for, which is turning invoices into clean data. Both read invoices, but if line items matter (part numbers, quantities, unit costs, job codes), test that specifically with ten of your own invoices during the trial or demo.

Who should pick AvidXchange

  • Property management and HOA management companies paying many small vendors across many entities.
  • Mid-market construction and real estate firms on Yardi, MRI, Rent Manager or a construction ERP.
  • Teams that want supplier enrollment and payment exceptions handled by the vendor, not by their own AP staff.

Who should pick Bill.com

  • Small and midsize businesses on QuickBooks Online or Xero, from two to roughly twenty AP users.
  • Accounting firms running AP for clients, where BILL's accountant console is widely used.
  • Anyone who wants to start this week without a sales cycle. If you are also weighing a global payouts platform, our Tipalti vs Bill.com comparison covers that pairing.

When you need neither platform

A lot of teams that shortlist AvidXchange and BILL already pay vendors well. They use their bank's ACH, QuickBooks Bill Pay or Melio, approvals happen in the ERP, and the real cost is someone typing every invoice line. Buying a payments platform to fix typing is the expensive way to do it.

PayablesAgent reads vendor, invoice number, dates, terms, tax, totals and every line item from PDF, scanned or photographed invoices, and exports Excel, CSV or JSON through the API. Starter is $49 a month for 2,500 Base pages; Plus is $149 a month with three seats and 10,000 Base pages. It does not pay vendors or route approvals, so you keep whatever does that today. Upload a few invoices in the tool at the top of this page and compare the rows with what your team types now. If the answer is that you also need payments and approvals, the Bill.com competitors comparison lays out the platforms that do both.
