Basware pricing is not published. The vendor lists AP automation, an invoice AI product, an e-invoicing network, compliance and procure-to-pay modules on its website, and sends you to sales for a quote. There is no price list, no card checkout and no self-serve trial on the site. If you want a number before you talk to anyone, the realistic comparison is the published price of the lighter tools that cover the part of Basware you actually use.

This guide uses what basware.com shows publicly, checked on 2026-11-01, and the published plan prices of PayablesAgent and BILL. It does not guess Basware's dollar figures, because none are printed anywhere official and third-party listings disagree. What it does give you is a way to scope the quote, a list of questions that make a sales call useful, and a clear view of when a $49 or $149 a month tool is the cheaper way to get the same invoice data into your books.

What Basware sells, per its own site

The Basware site groups its offer into five areas. AP automation covers SmartCoding, SmartPDF, invoice matching and an insights module. InvoiceAI is the AI invoice product, with versions for invoices that have a purchase order and invoices that do not. An e-invoicing network handles sending and receiving e-invoices and archiving. Compliance and invoice lifecycle assurance include global compliance, audit and recovery, and statement matching. Procure-to-pay adds e-procurement and a marketplace.

An analyst quote on the page calls the company well suited for global enterprises, and the SAP connection is the one ERP named in the headline products. The calls to action are demos and assessments, such as booking an InvoiceAI demo or an e-invoicing assessment. None of that is unusual for an enterprise vendor. It does tell a small finance team something: you will be buying a platform through a sales process, and the price will depend on how much of the platform you take.

How much does Basware cost?

Basware does not publish what it costs. Its pricing page contains no dollar figures, so any number you read elsewhere is an estimate from a review site or a competitor. Enterprise AP vendors generally scope a quote on invoice volume, the modules you choose, the number of legal entities and connections to your ERP, plus implementation. Treat any single "from" price you find as unverified until it appears on a signed quote.

What to ask before the sales call

  • Which modules does the quote include, and which of them are separate line items, for example e-invoicing, matching, compliance and procurement?
  • Is pricing per invoice, per entity, per user or a platform fee, and how are overages billed?
  • What is the implementation fee, who does the work, and how many weeks until the first invoice posts?
  • Which ERP connector do you get, and is it QuickBooks Online, Xero or NetSuite supported out of the box?
  • What is the contract length, the renewal uplift and the exit process?
  • Can you test your own invoices before signing?

The last two questions separate vendors quickly. A tool that cannot read your worst vendor PDF on a test is a tool you should not sign for three years.

What AP teams pay instead, with published prices

If your core need is invoice capture, review and export, here is what the lighter route costs. These are list prices from each vendor's own pricing page.

The fit is different, so pick by job. BILL is for teams that want to pay vendors from the same system. PayablesAgent is for teams whose cost is the typing: it reads vendor, dates, tax, totals and every line item, a clerk fixes anything wrong on a review screen, and the result goes to Excel, CSV or QuickBooks Online. Our Basware alternative page has the side-by-side feature table, and the best OCR software for invoice processing guide lists more capture tools on published prices.

Worked monthly math for a mid-size team

Say a company receives 1,800 vendor invoices a month, averaging two pages, so about 3,600 pages. The Plus plan at $149 a month covers 10,000 pages with three seats, which leaves headroom for growth. That is $1,788 a year, about 8 cents per invoice. The Starter plan at $49 covers 2,500 pages and would fall short at this volume, so Plus is the right tier.

The comparison with a quote-only platform is not apples to apples, because the platform also gives you matching, compliance and procurement. But if you would use none of those, you are paying for scope. A fair test is to price the whole job: licence, implementation hours and the monthly clerk time saved, against $149.

Who should still buy Basware

Buy it when you send and receive e-invoices across countries, need tax compliance coverage, run purchase order matching at scale or sit on SAP and want its connection. Those needs justify a platform and a quote. Do not buy it because a vendor PDF is hard to type in. That is a capture problem and it has a cheaper answer.

Basware pricing FAQ

Does Basware publish its pricing?

No. The Basware site has a pricing page but prints no figures, and its calls to action are demos and assessments. You need a quote, which is based on the modules, volume and implementation scope you choose.

Is there a free trial of Basware?

The site does not mention a self-serve trial. It offers demos, such as an InvoiceAI demo and an e-invoicing assessment. Ask in writing whether you can test your own invoices before you sign.

What is a cheaper alternative to Basware?

For invoice capture and export, PayablesAgent starts at $49 a month for 2,500 pages with a review screen and QuickBooks Online export. For bill pay, BILL lists $49 to $89 per user a month. Neither replaces e-invoicing networks or procure-to-pay.

Is Basware suitable for small businesses?

Its own positioning, via an analyst quote on the site, is global enterprises. A small team on QuickBooks usually needs capture and export rather than a platform, and can start with a published-price tool the same day.

Does Basware integrate with QuickBooks?

The Basware site names SAP as a headline ERP connection and does not highlight QuickBooks. Ask for the connector list in writing for your exact ledger before you commit.

If you also have staff receipts and card spend to sort, that is a separate job from vendor invoices, and expense management software that reads your receipts handles it without touching your AP workflow.
