Accounts Payable OCR Software and AP Invoice OCR

Upload vendor invoices and get the header fields and every line item back as rows you can check and export.

Your AP team should not spend the day keying invoice numbers, vendor names and line items into the accounting system. PayablesAgent reads PDFs, scans and phone photos, shows each extracted field next to the original page, and exports the result to Excel, CSV or QuickBooks Online. Plans start at $49 a month, billed monthly.

What accounts payable OCR software does

Accounts payable OCR software turns a vendor invoice into structured data: vendor name, invoice number, PO number, invoice and due dates, payment terms, tax, totals and each line item with description, quantity, unit price and amount. A clerk checks the fields against the page and exports them to the ledger instead of typing them. PayablesAgent does this for $49 a month (2,500 pages), $149 (10,000 pages, 3 seats, QuickBooks Online export) or $499 with API access.

The Hidden Cost of Manual Invoice Data Entry

Every invoice keyed by hand costs time and invites typos that AP OCR removes

Visit almost any accounts payable department and you will find skilled people doing work software should handle. Paper invoices, inboxes full of PDF attachments, files downloaded from vendor portals. Someone reads each one and types it into the accounting system, field by field, invoice by invoice.

Time it yourself. A clerk who keys a full invoice with line items usually needs several minutes per document. At 500 invoices a week, three to five minutes each adds up to 25 to 40 hours, which is most of a full-time job spent copying data from one format into another.

Typing also produces mistakes. A transposed digit in an amount becomes a wrong payment. A misspelled vendor name becomes a duplicate vendor record. A misread due date means a late fee or a missed early payment discount. Each one costs more to find and fix than it took to make.

AP OCR moves the job from typing to checking. The software reads the invoice in seconds, the clerk compares the extracted fields with the original page, corrects what needs correcting and exports. The approval, coding and payment steps you already run stay where they are.

How Accounts Payable OCR Works

Three steps from a vendor PDF to a row in your ledger

1

Upload the invoices

Drop in PDFs, scanned images or phone photos, one at a time or as a batch. Multi-page invoices are read as one document, with no limit on pages per document on Plus and Pro. Scanner settings for paper bills are on our AP invoice scanning software page.

2

AI reads the fields

The extraction combines OCR with AI models that read invoices by meaning, not by fixed templates, so a new vendor layout needs no setup. Header fields and every line item come back as structured data.

3

Review and export

Check the fields next to the original page, then export to Excel or CSV, to QuickBooks Online on Plus, or pull JSON through the API on Pro to feed NetSuite, Sage Intacct or your own import.

What the AP OCR Software Captures

The fields your team types today, read for them

Header fields

Vendor name and address, invoice number, PO number, invoice date, due date, payment terms, subtotal, tax and total.

Every line item

Description, SKU, quantity, unit price and line amount on every plan, not as an add-on. See invoice line item extraction for examples.

Scans and photos

Faxed, skewed and photographed invoices, not only clean digital PDFs.

Side-by-side review

Extracted fields sit next to the original page, so checking a batch takes minutes instead of retyping it.

Data for coding and matching

Line-level data with PO numbers is what your ERP needs for GL coding and three-way matching. Matching and approvals stay in your accounting system.

Exports and API

Excel and CSV on every plan, QuickBooks Online export on Plus, JSON through the API on Pro.

AP OCR That Feeds the System You Already Use

No ERP replacement and no implementation project

Adding accounts payable OCR should not mean replacing your ERP or rebuilding approval workflows your team already trusts. The OCR step sits in front of them and hands over clean data.

QuickBooks Online users on Plus export extracted invoices straight to QuickBooks. NetSuite, Sage Intacct and Microsoft Dynamics teams typically use the CSV export with their standard import, or call the API on Pro and post bills from their own integration. Anyone can work from the Excel file.

If you need capture, approvals and payments in one product, that is a different purchase, an AP platform such as BILL or Stampli. Our accounts payable automation software page explains where capture-only tools fit and when a platform is worth its price.

Who Buys Accounts Payable OCR

Two roles, two reasons

AP clerks and processors

If your day is data entry, OCR turns it into checking. You review the extracted fields next to the invoice image, fix the few that are wrong and export the batch. More on the clerk workflow in invoice automation for AP clerks.

  • ✓No more retyping line items
  • ✓Month-end volume without overtime
  • ✓Fewer transposed digits to chase later

Controllers and AP managers

You want invoice volume to grow without adding a clerk, and you want the cost known in advance. A flat monthly plan by page count does that, and three or five seats let the team share the work.

  • ✓Cost per invoice you can calculate before buying
  • ✓No implementation fee and no annual contract
  • ✓Your approvals and payments stay where they are

How to Choose AP OCR Software

Four questions that separate a good fit from an expensive one

Does it read line items, and at what price? Header fields are table stakes. Line items are where manual entry time goes, and several tools charge extra for them per document. Ask for line items on your own invoices in the trial.

Does it need templates? Older OCR needed a template per vendor layout. AI extraction reads invoices by meaning, so a new vendor works on the first upload. If a tool asks you to set up parsers per vendor, count that setup time as a cost.

What format does your ledger import? QuickBooks Online, a CSV for NetSuite or Sage Intacct, or JSON for a developer. The best extraction is useless if the export does not fit the next step.

Is the price published? Many AP OCR vendors quote after a demo. A published monthly price per page volume lets you work out cost per invoice before you talk to anyone. Test on 20 of your own invoices, including the worst scans, before you commit.

Accounts Payable OCR Questions

What AP teams ask before they buy

What types of invoices can accounts payable OCR process?

PayablesAgent reads invoice PDFs sent by email, scanned paper invoices, faxes and photos taken on a phone, from any vendor and in any layout, with no template setup. Multi-page invoices are read as one document, so line items that run over several pages end up in one table. Messy handwriting on small contractor bills is the case where you should expect to check more fields by hand.

How accurate is the data extraction from invoices?

On clean digital PDFs, header fields like vendor, invoice number, date and total are rarely wrong. Accuracy drops on faint faxes, skewed photos and handwritten notes, which is why every result is shown next to the original page for review. The honest test is your own files: upload 20 recent invoices, including the worst scans, and count the corrections.

How does accounts payable OCR handle invoices in different languages or currencies?

The AI extraction reads invoices in English and other common languages and returns the currency shown on the invoice along with the amounts. Number formats such as 1,234.56 and 1.234,56 are read as the same value. If most of your vendors invoice in one non-English language, test a batch of those invoices before you commit to a plan.

What happens when the OCR cannot confidently extract a data field?

You see it in the review screen. The extracted fields sit next to the invoice image, so a clerk can spot an empty or wrong value, correct it and export the clean record. Nothing is posted to your ledger automatically, which keeps a person in control of what enters the books.

How long does it take to implement accounts payable OCR?

There is no implementation project. Create an account, upload an invoice and the fields come back in seconds. QuickBooks Online users on Plus connect their company and export from day one; NetSuite and Sage Intacct teams map the CSV columns to their import once. Developers on Pro can start calling the API the same day.

Is our invoice data secure in a cloud-based OCR system?

Invoices are uploaded and served over encrypted HTTPS connections, and each account only sees its own documents, with seats added per user rather than shared logins. Your files are used to return your extraction, not sold or shared. For detail on storage and retention, read the privacy policy before you upload sensitive vendor data.

Can accounts payable OCR work alongside our existing AP processes?

Yes. OCR only replaces the typing step. Approvals, GL coding rules, PO matching and payments stay in the accounting system you already use. Many teams start with their highest-volume vendors, run OCR in parallel with manual entry for a week to compare results, then move the rest of the volume over.
