Scan Invoices into QuickBooks Desktop and Scan Bills with Line Items

QuickBooks Desktop stores a scanned invoice but never reads it. PayablesAgent reads the vendor, invoice number, dates, terms, totals and every item line, and gives you a file you can import as bills instead of keying them into Enter Bills one by one.

Plans from $49 a month. Line items are included on every plan.

The short answer for Desktop users

You cannot scan an invoice straight into a finished bill with QuickBooks Desktop alone. Desktop has no feature that reads a vendor invoice and fills in Enter Bills, and its Excel import only handles lists like vendors and items, not bills.

The working setup has two parts. An extraction tool reads the scanned or emailed invoices into rows, one row per bill line. An importer such as Rightworks Transaction Pro, at $199 one time per user, or an IIF file then creates the bills in your company file. Together that is a few minutes per batch instead of a few minutes per invoice.

If you only post a vendor name and a total, the scanner software that came with a ScanSnap or Epson may be enough. Once your bills carry part numbers, quantities and unit costs, you need the line items, and that is the part PayablesAgent reads.

Three ways to scan bills into QuickBooks Desktop

Each route ends with a bill in your company file. They differ in how much of the invoice gets read and how much you still type. Importer pricing is from rightworks.com, checked October 9, 2026.

How the extracted fields map to a QuickBooks Desktop bill

A bill in QuickBooks Desktop has a header (who, when, how much) and lines on either the Expenses tab or the Items tab. The export gives you both, one row per line, with the header repeated on each row. That is the shape bill importers expect.

Two things are yours to add before import. QuickBooks needs the account or item name exactly as it appears in your lists, so map vendor descriptions to your items once and reuse the mapping. And if you job cost, add the Customer:Job column so each line lands on the right job.

Vendor names must match your vendor list too. Importers can create a vendor that does not exist yet, which is handy for new suppliers and a mess for typos, so check the vendor column first.

From scanned invoice to QuickBooks Desktop bill in four steps

1

Scan the stack

Scan paper bills to PDF at 300 dpi, or save the PDFs vendors email you. Phone photos work for the odd delivery ticket.

2

Upload the batch

Drop the files into the tool above. Vendor, invoice number, dates, terms, tax, totals and each line come back as fields and rows.

3

Check and export

Compare the results with the original page, fix anything odd, and download Excel or CSV with one row per bill line.

4

Import as bills

Map the columns once in your importer, back up the company file, and import. The bills then show in Pay Bills as usual.

Bookkeeping firms with Desktop clients

A practice that serves a few QuickBooks Desktop clients alongside QBO ones can run every client's bills through the same tool and import per company file.

Contractors on Enterprise with job costing

Supplier invoices for lumber, rebar and rentals carry many lines that each belong to a job. Line-level rows plus a Customer:Job column keep job cost reports accurate.

Distributors and parts businesses

If you receive inventory on bills, item codes, quantities and unit costs are what matter. Those are the fields people mistype most when they key by hand.

Teams staying on Desktop on purpose

Intuit stopped selling Pro Plus and Premier Plus to new US subscribers after September 30, 2024, but renewals continue and Enterprise is still sold. If you are staying, cutting the typing is the cheaper fix than a migration.

What the extract and import setup costs

PayablesAgent prices by page with line items always included. The importer is a one-time purchase per user, with an optional $99 a year for email support after the first year.

Starter

$49/mo

2,500 Base pages and 500 Pro pages a month. Enough for a business posting a few hundred single-page bills.

Plus

$149/mo

10,000 Base pages and three seats, for a bookkeeping practice or an AP team splitting the work.

Importer

$199 once

Rightworks Transaction Pro Importer for Desktop, per user. Imports bills, item receipts and vendor credits, among others.

First-year example for one user at 300 bills a month: $588 for Starter plus $199 for the importer, $787 in total, against about 300 bills a month typed by hand.

When you do not need this

If you enter fewer than 20 bills a month and most have one line, typing them is quicker than setting up an import. If you post only vendor, date and total, the scanner utility you already own may cover it.

And if you are already planning a move to QuickBooks Online, look at the QBO side first. Our guide to import bills into QuickBooks Online from PDF invoices covers that setup, and the invoice OCR for QuickBooks overview compares both editions.

Questions about scanning bills into QuickBooks Desktop

Can you scan invoices into QuickBooks Desktop?

Not with QuickBooks Desktop alone. Desktop can attach a scanned invoice to a bill as a document, but it does not read the vendor, amounts and lines for you. To go from a scan to a finished bill you need scanner software with a QuickBooks link, or an extraction tool that produces an import file plus an importer.

How do I scan bills into QuickBooks Desktop?

Scan or save the vendor bills as PDF, upload them to an extraction tool that returns vendor, invoice number, dates, terms and each line, review the results, and export a CSV. Then import that file as bills with an importer such as Transaction Pro, or build an IIF file. Attach the original PDF to each bill so the audit trail stays intact.

Can QuickBooks Desktop import bills from Excel?

Not natively. The built-in Excel import covers lists such as vendors, customers, items and accounts. Bills are transactions, so they come in through an IIF file or a third-party importer. Rightworks Transaction Pro Importer handles bills and costs $199 one time per user.

What is the fastest way to enter vendor invoices into QuickBooks Desktop?

For more than a few dozen invoices a month, batch them. Extract every invoice in one upload, check the rows in a spreadsheet, and import them as bills in one pass. Typing each one into Enter Bills is only quicker when the invoices are short and few.

Does this work with QuickBooks Desktop Enterprise?

Yes. The export is a plain Excel or CSV file, so it works the same for Pro, Premier and Enterprise. Enterprise is the edition Intuit still sells to new US customers, and its item and job costing setups get the most from line-level data.
