AP automation for QuickBooks Online means three jobs: getting vendor bills into QuickBooks without typing, approving them, and paying them. For most US small businesses the cheapest working setup is QuickBooks Bill Pay for payments (standard ACH is free) plus a capture tool that reads bills to the line item. BILL fits once you want approvals and payments outside QuickBooks, at $65 per user a month for automatic QuickBooks Online sync. Tipalti only pays off with many international payees.
That answer depends on two numbers: how many bills you enter a month, and how many people touch each one. Below are the tools QuickBooks Online users actually shortlist, priced from each vendor's own pricing page, and the monthly cost for three common team shapes. BILL was checked on October 12, 2026; QuickBooks Bill Pay, Ramp, Melio, Tipalti and Hubdoc between October 7 and 8; Dext in September 2026.

AP automation tools for QuickBooks compared
| Tool | Published price | QuickBooks Online link | What it does for AP |
|---|---|---|---|
| QuickBooks Bill Pay | Basic $0, Premium $15/mo, Elite $45/mo (included with QBO Advanced) | Built in | AI bill creation, bills inbox, payments. Standard ACH free, check $1.50. Approval automation on Elite only |
| BILL (Bill.com) | $49, $65 or $89 per user/mo | Essentials: manual CSV import and export. Team and up: automatic two-way sync | Capture, approvals, payments. ACH $0.59, check $1.99. Multi-line AI coding from Team |

| Ramp | Free $0/user, Plus $15/user/mo plus platform fee | On the Free plan | Invoice OCR, approvals, bill pay. ACH $0.59, waived when paid from Ramp Checking |
| Tipalti | AP from $99/mo plus per-invoice and per-payment fees | Yes | Global payables, tax forms, 2 and 3-way matching, 120 currencies |
| Dext | From $25.21/mo billed annually, 250 documents | Yes (publishing) | Capture. Line item extraction is an add-on from $20.50/mo |
| Hubdoc | $12/mo standalone | Yes (publishing) | Capture of header fields: supplier, date, number, total |
| PayablesAgent | Starter $49/mo (1 seat), Plus $149/mo (3 seats) | CSV for the QuickBooks bill import | Capture only, every line item included on every plan |
Two things jump out. First, QuickBooks already has a bill pay layer, and on the Basic tier it costs nothing to send a standard ACH payment. Second, BILL's cheapest plan does not sync with QuickBooks Online automatically. The two-way sync most buyers assume they are getting starts on Team at $65 per user.
What does AP automation for QuickBooks actually need to do?
Split the work into capture, approval and payment, then ask which of the three you are paying someone to do today. In most small QuickBooks shops the expensive part is capture: someone opens each PDF, keys the vendor, number, dates and lines into New Bill, and fixes the typos at month end. Approval is often one owner glancing at a list. Payment is already a button in QuickBooks or the bank portal.
If that describes you, a full AP platform charges per user for approval and payment features you will barely use. A capture tool plus QuickBooks' own bill import into QuickBooks Online covers the costly part, and Bill Pay covers the rest. If instead five managers approve invoices across departments and you pay 300 vendors a month, the platform features start earning their fee.
How much does QuickBooks AP automation cost per month?
Here is the math for three shapes we see often. Payment counts assume standard ACH. Where a tool includes free payments up to a limit, that is applied.
Owner plus a bookkeeper, 80 bills and 60 payments a month
- QuickBooks Bill Pay Basic alone: $0 a month. Bills are created from uploads, but you check each one.
- BILL Team, 2 users: $130 in seats plus 60 x $0.59 = $35.40, so $165.40 a month.
- PayablesAgent Starter plus Bill Pay Basic: $49 a month, with every line read and the bills created through one CSV import.
Growing company, 5 approvers, 300 bills and 250 payments
- BILL Team, 5 users: $325 plus 250 x $0.59 = $147.50, so $472.50. Custom approval policies need Corporate: $445 plus $147.50 = $592.50.
- QuickBooks Bill Pay Elite: $45, which adds bill approval automation. Free if you are on QuickBooks Online Advanced.
- PayablesAgent Plus plus Bill Pay Elite: $149 + $45 = $194 for line-level capture, approvals and free standard ACH.
Bookkeeping firm, 12 QuickBooks Online clients, 900 bills a month
Per-user and per-company plans multiply here. BILL charges per user inside each client organization; Ramp and Melio are opened per business. A firm keying bills for a dozen clients mainly needs capture across all of them, which is a single PayablesAgent Plus plan at $149 for three staff, with one import file per client. Payments stay in each client's QuickBooks or bank.
Is QuickBooks Bill Pay enough on its own?
For a lot of small businesses, yes. It is included, it creates bills from uploaded documents, and standard ACH is free on every tier. Test it on your real bills before buying anything else. Upload a week of invoices to the Receipts tab and count how many need fixing. If your suppliers send one-line bills, you may be done.
Where it gets thin is multi-line bills that split across accounts: a supply invoice with freight, a fuel surcharge and three product categories, or a contractor bill coded to several jobs. Each draft is reviewed one document at a time. When those bills number in the hundreds, reading them in a batch and importing a CSV of up to 100 bills at a time is the faster route.
When is BILL worth it for a QuickBooks user?
BILL earns its price when approvals are the bottleneck and you want them outside QuickBooks, when vendors want to be paid by virtual card or international wire, or when your auditor wants a separate approval trail. Budget for Team at minimum, because Essentials only moves data to QuickBooks by CSV. If you are weighing it against cheaper tools, our page on Bill.com competitors lays out the published prices side by side, and the Bill.com vs QuickBooks Bill Pay post works through the fees.
Ramp and Melio for QuickBooks Online
Ramp's Free plan is the strongest no-cost option if you are willing to move payments to Ramp: invoice OCR, approvals and QuickBooks sync for $0 per user, with ACH fees waived from Ramp Checking. The catch is that Ramp wants to be your spend platform, cards and all. Melio is simpler and cheap to start (Core is $25 a month with 20 ACH payments), and its pricing and fees stay predictable for small teams, though the QuickBooks sync starts on Core, not on the free Go plan.
Dext and Hubdoc for QuickBooks bills
Both are capture tools that publish into QuickBooks Online. Hubdoc is $12 a month and reads the header: supplier, date, number and total. That is fine for one-line bills and not enough for coding lines to different accounts. Dext reads more, but line item extraction is a paid add-on from $20.50 a month on top of the plan. If line items are the reason you are looking, compare our Dext alternative page, where line items are included in the base price.
Which AP automation for QuickBooks should you pick?
- Under 30 bills a month: QuickBooks Bill Pay Basic. Do not pay for more yet.
- Dozens to hundreds of multi-line bills, one or two approvers: a capture tool plus the QuickBooks bill import, paid through Bill Pay. Starts at $49 a month.
- Several approvers, approvals outside QuickBooks, card or wire payments: BILL Team or Corporate, or Ramp if you will bank with Ramp.
- Hundreds of international payees with W-8 forms: Tipalti.
Employee receipts are a separate job from vendor bills. If your team's expense receipts are piling up too, a QuickBooks receipt scanner for bookkeepers handles that side without touching your AP flow.
To see whether line-level capture saves you time, upload a few of last month's bills in the tool at the top of this page. You will see the rows that would go into your QuickBooks import before you pay anything.
