Ottimate Pricing and Ottimate Alternative with Plate IQ Pricing and Competitors for Restaurant AP

Ottimate, the AP platform formerly called Plate IQ, does not publish a price. You get a number after a demo. If what you really need is every Sysco, US Foods or produce invoice read down to the line item and posted to your books, PayablesAgent does that on a published plan: $49 a month, or $149 a month for 10,000 pages and QuickBooks Online export.

The short answer

Ottimate pricing is quote-only: there is no public price list for Ottimate or for Plate IQ, and the quote depends on invoice volume, locations and modules. Keep Ottimate if you want capture, approvals, PO matching and vendor payments in one restaurant-aware platform. If your approvals and payments already work and the cost is people keying food and beverage invoices, a flat-rate extraction tool covers that step for a fraction of a platform contract.

How Ottimate pricing works

Ottimate has no pricing page. The old ottimate.com/pricing address returns a 404, and every call to action on the site leads to a demo. That is normal for mid-market AP software (Stampli and AvidXchange work the same way), but it means you cannot compare Ottimate against anything until a sales rep has scoped your business.

From what Ottimate sells, the quote is shaped by four things. First, how many invoices you process a month, which for a restaurant group is driven by delivery frequency: a kitchen taking five broadline and specialty deliveries a week produces 20 or more invoices a month per location before utilities and repairs. Second, how many locations or legal entities the invoices belong to. Third, which modules you switch on, such as VendorPay for check, ACH and virtual card payments, PO matching, or cost discrepancy checks. Fourth, which accounting system you connect.

You will see dollar ranges for Ottimate on software directories. Those figures come from the directories, not from Ottimate, so treat them as rumors until they appear in your own proposal.

Two questions matter most on the call. Ask how the contract handles a month where invoice counts run above the baseline, because restaurant volume is seasonal and a patio summer or holiday December can push you over. And ask whether line-item extraction is included on every invoice or priced as a higher tier, since item-level food cost data is the reason most restaurant operators look at Ottimate in the first place.

Ottimate vs Stampli for grocery operators

For a grocery chain, Ottimate is usually the closer fit because it lists grocery as a core industry and its strength is reading long vendor invoices down to the line item and flagging cost changes. Stampli is the stronger pick when the pain is approvals across many stores and entities rather than line-level cost data. Neither publishes a price, so both need a quote.

Pick Ottimate if

Your direct store delivery vendors send invoices with dozens of SKUs, you want each line coded to a GL account or category, and you want price increases and short shipments flagged before the bill is paid. Ottimate also pays vendors through VendorPay.

Pick Stampli if

Store managers, buyers and the central office all need to comment on and approve the same invoice, you run several legal entities, and your ERP is NetSuite, Sage Intacct, Dynamics, SAP or Oracle. Stampli's quote is driven by entities, vendors and feature tier.

Pick neither if

Approvals already run in QuickBooks or your ERP and the real cost is keying line items. PayablesAgent reads grocery vendor invoices to one row per line item for $49 a month (Plus $149 with 3 seats and QuickBooks Online export), with no demo and no contract. Compare all four.

When Ottimate is the better buy

Ottimate grew up in restaurant back offices and still does several things a capture tool does not. If these describe you, stay with it or compare it only against other full AP platforms.

You want AP in one system, end to end

Capture, coding, approvals and payment in a single queue means nobody exports a file or re-keys a batch. For a group with a small central finance team and many managers approving bills, that is worth paying a platform price for.

You match deliveries against POs

If your kitchens order through purchase orders and you want short shipments and price changes flagged before a bill is paid, Ottimate's PO matching and cost discrepancy checks do that inside the workflow. Extraction alone gives you the data but not the automated check.

You pay vendors from the AP tool

VendorPay sends checks, ACH and virtual card payments from the same place the invoice was approved.

You run on Acumatica or Sage Intacct across many entities

Ottimate integrates directly with Acumatica, Sage Intacct, NetSuite and Dynamics. For a multi-entity group already on one of those, a native sync beats importing files.

Ottimate competitors, grouped by the job you need done

Most lists of Ottimate alternatives mix AP suites, payment networks and hotel software. Sort them by the job first and the shortlist gets short.

AP platform with published prices

BILL

Per-user pricing you can read before a call, a big US payment network and QuickBooks sync from the Team plan. Plan-by-plan costs are in our Bill.com alternative comparison.

Mid-market AP platform

Stampli

Approvals discussed on the invoice itself, unlimited entities and wide ERP coverage. Quote-based like Ottimate. See the Stampli alternative breakdown.

Mid-market AP platform

AvidXchange and MineralTree

AP suites with payment networks and approval routing. AvidXchange is strong in real estate and hospitality management groups. See the AvidXchange alternative comparison and the MineralTree pricing and alternatives.

Small business bill pay

Melio

Cheap, simple bill payment for a single location that mainly wants to stop writing checks. Plans and fees are in the Melio alternative comparison.

Global payables

Tipalti

Unlimited users and payouts to 200+ countries, from $99 a month plus per-invoice fees. Relevant for groups with overseas suppliers. See the Tipalti alternative page.

Invoice capture only

PayablesAgent

Reads invoices, bills and receipts and returns vendor, invoice number, dates, tax, totals and every line item as Excel, CSV, JSON or QuickBooks Online data. Published flat plans, self-serve, no demo. Closest peers on this job: Dext and Hubdoc.

Who gets more from invoice capture than from Ottimate

Independent restaurants and small groups

Two to ten locations on QuickBooks Online, one bookkeeper, bills paid from the bank. You need food and beverage invoices entered correctly, not a platform. See invoice scanning for restaurants.

Restaurant bookkeeping firms

One account with page-based pricing covers every client's vendor invoices, instead of a platform contract per client. Once the costs are in the ledger, you can turn the month's bookkeeping export into a P&L and balance sheet for each owner. See invoice OCR for CPAs.

Hotels, clubs and hospitality groups

Food, linen, maintenance and utility bills from dozens of vendors, approved in a PMS or ERP you already own. Capture feeds it clean data. See invoice scanning for hotels and hospitality.

Food cost tracking from line items

If the goal is price per case of chicken or produce over time, you need line items in a spreadsheet, not approvals. See invoice line item extraction.

NetSuite and Sage groups with approvals in the ERP

When routing and payment runs already happen in the ERP, a second AP system duplicates them. See invoice processing for NetSuite and Sage invoice data extraction.

High seasonal volume

Page-based plans run from 2,500 to 350,000 pages a month, and you can change plan when the season changes. See bulk invoice processing software.

How to test an Ottimate alternative in an afternoon

  1. 1

Pull a week of real invoices

Take every invoice one location received in a week: the broadline distributor's multi-page bill, the produce vendor's handwritten ticket, the beverage distributor, the linen service and a utility bill. That mix is where capture tools succeed or fail.

  2. 2

Run them through the tool above

Use Pro AI for phone photos and crumpled delivery tickets, Base AI for clean PDFs. Check item descriptions, quantities, unit prices and extended amounts against the paper, not only the invoice total.

  3. 3

Post them the way you post today

Export to Excel or CSV for your food cost sheet, or to QuickBooks Online on the Plus plan. Time how long the week takes compared with keying it by hand.

  4. 4

    Compare against the Ottimate quote

Multiply your monthly invoice pages across all locations and pick the plan that covers them. If that flat price plus your current payment method beats the quote, and you do not need PO matching, capture alone is the better buy.

Questions buyers ask about Ottimate

How much does Ottimate cost?

Ottimate does not publish prices on its website. Every plan is quoted after a demo, based on your invoice volume, number of locations or entities, and the modules you add, such as vendor payments and PO matching. Price figures on software directories are estimates from those sites, not numbers from Ottimate.

Is Ottimate the same as Plate IQ?

Yes. Plate IQ rebranded as Ottimate to reach industries beyond restaurants, such as hotels, country clubs, senior living, grocery, healthcare and construction. The line-item invoice technology is the same product. Searches for Plate IQ pricing lead to the same quote-based model.

What are the best Ottimate alternatives?

For a full AP platform with approvals and payments, compare BILL, Stampli, MineralTree and AvidXchange. For a single location that mainly wants bill pay, Melio. If the job is only reading invoices and line items into your books, a flat-priced extraction tool such as PayablesAgent is the lighter and cheaper purchase.

Does Ottimate integrate with QuickBooks?

Yes. Ottimate lists QuickBooks among its integrations, alongside NetSuite, Acumatica, Sage Intacct and Microsoft Dynamics. A small restaurant on QuickBooks Online should still weigh a quoted platform against a $149 a month plan that exports extracted bills straight to QuickBooks Online.

Does Ottimate have a free trial?

Ottimate's website does not offer a self-serve signup or trial. Every button leads to Book a Demo, so plan on a sales call before you process your own invoices. With PayablesAgent you can upload an invoice in the tool at the top of this page and see the extracted fields and line items before choosing a plan.

Is there a cheaper alternative to Ottimate?

For invoice capture with line items, yes. PayablesAgent Starter is $49 a month, or $24 a month billed yearly, with 2,500 Base pages and 500 Pro pages. Plus is $149 a month with 10,000 Base pages and QuickBooks Online export. It does not pay vendors or route approvals, so payments stay with your bank or accounting system.

See your vendor invoices as line-item data

Upload last week's distributor invoice and check the items, quantities and prices that come back. If capture was the reason you took the Ottimate demo, you can have it running tonight at a published price.
