Vic.ai Pricing and Vic.ai Alternative with AP Costs and Competitors Compared

Vic.ai's own AWS Marketplace listing prices its AP Module at $25,000 for a 12-month contract, plus $2.00 for every invoice above the committed volume. The short answer

Vic.ai has no price on its website, but its AWS Marketplace listing shows the shape of a deal: $25,000 a year for the AP Module, covering a contracted invoice volume, then $2.00 per invoice above it. That is about $2,083 a month before any extra modules. Stay on Vic.ai if you want AI coding, PO matching, approvals and payments in one system on Sage Intacct, NetSuite, Workday or Dynamics. If approvals and payments already run in your ERP and what you want gone is keying invoices, a capture tool does that step for a fraction of the contract.

How Vic.ai pricing works

The pricing page on vic.ai has no numbers. The request form says the model "depends on a few factors specific to your finance team" and asks you to book a discovery meeting. Most buyers stop there and wait for a proposal.

There is one public figure, and it comes from Vic.ai itself. Its product listing on AWS Marketplace, sold by Vic.ai as a SaaS contract, has a single 12-month option: the Vic.ai AP Module, described as the AI platform for invoice processing and approvals, at $25,000. The listing adds a usage dimension: $2.00 per invoice for volume that exceeds the contracted annual commitment. The listing does not say how many invoices the $25,000 covers, so that number is the first thing to get in writing.

The rest of the product is sold as named modules on top of AP: VicInbox for the AP mailbox, VicPay for bill pay and a vendor portal, VicCard for cards and expenses, VicAnalytics for reporting, and VicAgents. Expect each one to show up as its own line on a proposal.

If your volume runs over by Overage at $2.00 per invoice Year one total with the $25,000 base
0 invoices$0$25,000
1,000 invoices$2,000$27,000
5,000 invoices$10,000$35,000
10,000 invoices$20,000$45,000

For scale: PayablesAgent Plus is $149 a month, which is $1,788 over twelve months, and covers 10,000 Base pages a month. Pro plans run from $499 a month for 35,000 pages. The gap is real, and so is the difference in scope: Vic.ai codes invoices to your GL, matches POs, routes approvals and can pay vendors, and we only do the capture step.

When Vic.ai is the better buy

Vic.ai is built to take invoices from arrival to payment with as little human touch as possible. A capture tool does not replace that. If these describe you, compare Vic.ai only against other AP platforms.

You want the GL coding done for you

Vic.ai codes each invoice to accounts, departments and dimensions based on how your team coded similar bills before. Extraction gives you clean fields; it does not decide the expense account. At thousands of invoices a month, that coding step is where the hours go.

You run a large ERP

Workday, Oracle Fusion, SAP S/4HANA, Dynamics and Coupa are on Vic.ai's integration list. If your ledger lives there, a native connector with PO sync is worth a contract.

PO matching is most of your volume

Manufacturers and distributors that receive against purchase orders need matching and exception routing, not just extraction. That is a core Vic.ai workflow.

Your volume makes $2 an invoice cheap

If a clerk costs you well over $2 per invoice today and your volume fills the commitment, the per-invoice economics of a full platform can beat piecing tools together.

Vic.ai competitors, grouped by the job you need done

Most lists of Vic.ai alternatives mix enterprise AP suites, card programs and small business bill pay. Pick the job first, then compare inside that group.

Mid-market AP platform

Stampli

Approvals discussed on the invoice itself, unlimited entities and broad ERP coverage, including QuickBooks. Quote-based. See the Stampli alternative breakdown.

Mid-market AP platform

MineralTree

Setup fee, platform fee and usage fees with no per-user charge, strong on Sage Intacct and NetSuite. See the MineralTree pricing and alternatives page.

AP with a payment network

AvidXchange

A large supplier payment network and deep real estate and construction coverage. No published price. See the AvidXchange alternative comparison.

Global payables

Tipalti

From $99 a month plus per-invoice and per-payment fees, with payouts to 200+ countries. See Tipalti pricing and fees.

AP with published prices

BILL

Per-user plans you can read before a call and a big US payment network. See the Bill.com competitors comparison.

Invoice capture only

PayablesAgent

Reads invoices, bills and receipts and returns vendor, invoice number, dates, tax, totals and every line item as Excel, CSV or QuickBooks Online data. Published flat plans, self-serve, no demo. Closest peers: Rossum and Dext.

Who gets more from invoice capture than from Vic.ai

QuickBooks Online companies

QuickBooks is not on Vic.ai's integration list. Plus at $149 a month reads 10,000 pages and exports bills straight to QuickBooks Online. See invoice OCR for QuickBooks.

NetSuite teams with approvals in the ERP

If bills already route through NetSuite approvals and payment runs, a second AP platform duplicates both. You only need the invoice data. See AP automation for NetSuite.

Teams under the commitment

A $25,000 minimum is a lot for a few hundred invoices a month. Page plans start at 2,500 pages and change when your volume changes, with no annual true-up.

Dynamics and Sage shops that import files

Many mid-market ledgers take a CSV import for vendor bills. Clean extracted fields and line items are the whole job. See invoice processing for Microsoft Dynamics.

Workday or custom ERPs without a connector budget

Our API returns JSON you can push into any system, and if you would rather not write that glue yourself, a data integration platform can map the fields into your ledger on a schedule.

High or seasonal volume

Pro plans run to 350,000 pages a month, priced up front. See bulk invoice processing software.

How to test a Vic.ai alternative before you sign

  1. 1

Get the committed volume in writing

Ask how many invoices the annual fee includes, how overage is billed and whether unused volume rolls over. Divide the base fee by the included invoices to get your real per-invoice price.

  2. 2

Run a week of real invoices through the tool above

Include a multi-page supplier invoice, a scanned paper bill and one with 30 or more line items. Use Pro AI for poor scans and Base AI for clean PDFs, and check line items against the paper, not only the total.

  3. 3

    Time the coding separately

Post the extracted bills the way you do today and time how long GL coding takes on its own. If coding is minutes, capture alone solves your problem. If it is hours, that is the part Vic.ai charges for.

  4. 4

Compare a year, not a month

Put the $25,000 base, expected overage and module fees next to twelve months of the page plan that covers your volume. That is the number to take to your CFO.

Questions buyers ask about Vic.ai

How much does Vic.ai cost?

Vic.ai does not publish prices on its website; its pricing page leads to a discovery call. Its own AWS Marketplace listing does show a figure: the Vic.ai AP Module on a 12-month contract is $25,000, and each invoice above the contracted annual volume costs $2.00. Your final quote depends on invoice volume and the modules you add.

Does Vic.ai offer a free trial?

Vic.ai's website does not advertise a self-serve trial. Buyers book a discovery meeting to receive pricing, and onboarding runs through the Vic.ai team. If you want to test extraction on your own invoices first, a self-serve capture tool lets you do that the same day.

Does Vic.ai integrate with QuickBooks?

QuickBooks is not among the ERPs Vic.ai names. Its integration list covers Sage Intacct, Oracle NetSuite, Oracle Fusion, Workday, Microsoft Dynamics, SAP S/4HANA, Acumatica, Coupa, AppFolio, RealPage, Xledger and Viewpoint Vista, plus an open API. QuickBooks Online companies usually look at capture tools with a direct QuickBooks export.

What are the best Vic.ai alternatives?

For another AI-first AP platform, compare Stampli, MineralTree, AvidXchange and Tipalti. For small teams that pay bills from a published price list, BILL or Melio. If the job you need done is reading invoices and line items into your books, a flat-priced capture tool such as PayablesAgent costs $49 or $149 a month with no annual commitment.

Is there a cheaper alternative to Vic.ai?

For invoice capture, yes. PayablesAgent Starter is $49 a month, or $24 a month billed yearly, with 2,500 Base pages and 500 Pro pages. Plus is $149 a month with 10,000 Base pages, up to three seats and QuickBooks Online export. It does not code to your GL, match POs or pay vendors, so those stay with your ERP.

See your vendor invoices as clean data

Upload last month's longest supplier invoice and check what comes back. If capture was the reason you booked the Vic.ai call, you can have it running this afternoon at a published price.
